THE CHALLENGE

Increasing control and compliance around the creation and distribution of content

Mutual of Omaha is an American Fortune 500 insurance and financial services company based in Omaha, Nebraska. For more than a century, it has been committed to helping customers through life’s transitions.

Operating in financial services, Mutual of Omaha faces numerous security and legal compliance requirements regarding product and marketing content. Fresh off of a significant company-wide rebrand and aiming to scale content creation, it was time to transform their content supply chain.

Led by the executive team, the goal of their digital transformation project was to transform inefficiencies in working processes, specifically around content approvals, proofing, and usage. Mutual of Omaha’s governance and external content sharing is highly regulated, so the system needed to be robust.

With Tenovos, Mutual of Omaha now has a centralized repository that drives the creative design process. The platform acts as the one source of truth for securely managing, sharing, and distributing digital assets to employees, partners, and agencies. Processes that used to take days and weeks now take teams minutes, freeing both tangible and intangible resources for their product and marketing teams.

Secure and Centralized Digital Asset Management

Prior to Tenovos, Mutual of Omaha was challenged by an archaic storage model–operating off of physical hard drives and other fragmented storage solutions. As a national company with remote teams and office locations in 28 states, it was virtually impossible to manage and access all of its content this way, which led to low productivity metrics.

To modernize the content supply chain, Mutual of Omaha first had to make product and marketing assets secure and accessible for teams working across locations. As a SaaS platform powered by Amazon Web Services (AWS), Tenovos provides Mutual of Omaha with secure, centralized, cloud-based digital asset management (DAM) that significantly reduces the latency of centralizing, managing, and organizing product and marketing content.

Tenovos also provides advanced search capabilities, reducing time spent navigating the complex folder structures that previously existed on physical hard drives. Today, employees can quickly locate and access up-to-date assets from anywhere they work, which has resulted in significant productivity improvements and a renewed focus on creativity.

Compliance Workflows

Operating in the highly regulated financial services industry, Mutual of Omaha has a very specific (state-specific, to be exact) list of regulations that all content must adhere to. Teams must have confidence that any content published on any channel, directed at any consumer, is pre-approved and aligns with the local requirements. Given the numerous and differing requirements across states, approving assets and ensuring compliance was a time-consuming task that needed to be optimized.

Within Tenovos, Mutual of Omaha now leverages workflow tools that allow teams to define and automate tailored workflows for their compliance processes. Not only has this resulted in significant time savings, but this workflow automation facilitates a compliance process with less room for human error. These workflows ensure that all content is appropriately reviewed and approved by relevant teams and stakeholders with the correct criteria without any steps being missed.

Secure Access, Sharing & Distribution

Given state-specific regulatory laws and requirements, how Mutual of Omaha governs and shares content, both internally within the company and externally with auditors and partners, is critical. Responding to state audits, such as requests for advertising materials over a specific time period, demanded significant time and resources, as their previous storage structure required multiple employees to locate and compile the necessary information.

Additionally, the company needed more control over how marketing and product content was accessed and distributed to internal marketing and creative teams. Given their major rebrand, a lack of organization around new and legacy content lent to inefficiencies and a higher risk of non-compliance.

With Tenovos, Mutual of Omaha gained a searchable source of truth for all assets and documents, modernizing how they govern, access, and share content. Over 200,000 assets are now accessible to 300 internal users nationwide, with tailored roles and permissions ensuring secure access. With configurable metadata, everything in the DAM is easily searchable and categorizable, enabling documents and content to be quickly organized and packaged for auditors, significantly reducing response times to regulatory requests. Additionally, the DAM’s robust content distribution and syndication system centralizes master files, eliminating duplication, minimizing asset loss or misuse, and maintaining compliance while enhancing operational efficiency for internal teams.

Content Visibility & Reuse

Previously, it was impossible for Mutual of Omaha to track content usage or reuse because assets were scattered across physical drives and disconnected systems, with no centralized platform for monitoring. This lack of visibility resulted in wasted creative efforts and missed opportunities to maximize content ROI.

With Tenovos, Mutual of Omaha now has a centralized hub for all creative assets, including drafts, working versions, and unpublished content. This platform empowers creative teams to capture and organize ideation, store project versions, and leverage existing materials. Clean, configurable metadata ensures assets are systematically and intuitively categorized, making it easy to locate unused campaign ideas or variations for future brainstorming. By securely storing creative assets and brainstorming adhering to compliance standards, Tenovos supports seamless content reuse, empowering teams to jumpstart new campaigns, save time by reworking prior assets, and optimize their creative processes, maximizing the value of creative efforts and accelerating marketing initiatives.

Key features:

Integrated Marketing Technology Ecosystem

An integrated marketing ecosystem is critical for optimizing the content supply chain. By connecting the DAM with complementary technologies that support the asset lifecycle, such as project management and creative tools, Tenovos empowers Mutual of Omaha teams to access and share the latest, most up-to-date assets directly within their workflows. These integrations streamline communication, accelerate review and approval processes through automation, and enhance cross-team collaboration. This approach ensures efficient asset creation, management, and distribution while allowing teams to work with their preferred tools–maximizing the value of all technology investments.
